- The SharePoint Homepage: This is your jumping-off point. Use the “Following” feature (the little star icon) to bookmark the sites you use most frequently for quick access.
- Navigation is Key: Well-configured navigation menus allow you to jump between data and different sites within a “Hub” (a way of grouping related sites together).
- Document Libraries: These are the “guts” of SharePoint. While a site might have one or many libraries, this is where all your actual files live.
Part 2: Organising and Version Control
Tired of seeing file names like Document_v1_FINAL_v2_REALLY_FINAL? SharePoint has a better way.
- Custom Views: You don’t have to scroll through hundreds of files. You can Sort, Filter, and Group your documents by metadata (like the file owner or file type) to find exactly what you need in seconds.
- Version History: This is easily one of SharePoint’s best features. SharePoint saves versions in the background as you work. If someone makes a “catastrophic” change or accidentally deletes data, you can simply Restore a previous version to roll back the clock.
Part 3: Search and Secure Sharing
Stop sending email attachments! Attachments waste storage and create “version chaos” where five different versions of a file end up in different inboxes.
- Efficient Searching: Use the search bar at the top of your site to search through file names and the text inside documents. You can even filter results by date modified or file type.
- Single Version of the Truth: Instead of attaching a file, use the “Copy Link” button. This ensures everyone is working on the same single file.
- Secure Sharing: When sharing with someone outside your immediate team, you can set links to “View Only,” block downloads, or even set an expiry date so the link stops working after a certain deadline.
